Every local business owner knows the feeling. You're on a ladder, under a sink, with a customer, or finally sitting down to dinner, and the phone buzzes. You can't get to it. You tell yourself they'll leave a message.
Sometimes they do. Often they just call the next business on the list.
This post is about what those calls are really worth to you, and about a simple way to make sure every caller gets a friendly answer, day or night. We'll skip the scary industry numbers and do something more useful: the math with your own numbers.
Why a missed call costs more than it looks
A missed call doesn't show up on any invoice. There's no line item for "the job that went to someone else." That's what makes it easy to ignore.
But think about who's calling. Someone who picks up the phone usually has a real need right now: a leak, a broken AC, a question about pricing, a request for a quote. They found you, chose you, and reached out. That's the most expensive part of getting a customer, and it's already done. The only thing left is answering.
When nobody picks up, a few things can happen:
- They leave a voicemail and wait for a callback. Some will wait. Some won't.
- They hang up and try someone else. For urgent work, this is common, because the problem isn't going to wait for you.
- They come back later, if they remember, and if the next business didn't already help them.
You don't need a national statistic to know which of these happens in your market. Look at your own call log.
Do the math with your own numbers
Here's a worked example. These numbers are hypothetical and only show how the math works. Swap in your own.
Imagine a home-service business with:
- 10 missed calls a week (after hours, weekends, and busy moments)
- 3 out of 10 of those callers would have become paying customers if someone had answered
- $400 average value of a job
The math:
- 10 missed calls × 30% = 3 lost jobs a week
- 3 jobs × $400 = $1,200 a week
- $1,200 × 52 weeks = $62,400 a year
That's for one hypothetical business. Yours might be much lower or much higher. The point isn't the exact number. It's that once you write it down, missed calls stop being a vague worry and become something you can measure.
To run it with your own numbers, use our free missed calls calculator. It takes about a minute.
Where to find your numbers
- Missed calls: most phone carriers and business phone apps show missed and unanswered calls. Check a normal week and a busy one.
- Close rate: of the callers you do talk to, roughly how many book work with you? Use that, or be conservative and go lower.
- Job value: your average ticket, or a typical first job.
And remember that a first job is often not the last. A customer who has a good experience may call you again, and may tell a neighbor.
When the calls you miss tend to come in

When we look at phone logs with owners, the missed calls usually fall into a few buckets:
- After hours and weekends. Problems don't keep business hours, and plenty of people only have time to call in the evening.
- Busy moments. You're with a customer, on a job site, or already on another line.
- Lunch, sick days, and days off. Even a great receptionist works a shift. When they're out, the phone goes back to whoever's left, or to voicemail.
That's why "just hire someone" doesn't always close the gap. A person at the front desk is wonderful for the lobby, the walk-ins, and the in-person touch. But the calls that slip through are often the ones outside their schedule. Many businesses do best with both: a great person for the daytime and in-person work, plus an AI front desk covering the phone around the clock.
How an AI front desk helps

The goal is simple: every caller gets a friendly, helpful answer, every time. AI is just how we make that affordable and always-on.
With CloudBay's AI Front Desk:
- It answers 24/7, on every plan. Nights, weekends, holidays, and the moments you're tied up.
- You choose how it works. Some owners want it to answer every call. Others want it to pick up only after hours or when the line is busy. You pick the mode that fits your business.
- Callers get answers right away. Your hours, your service area, what you do, and how to reach you, in a natural-sounding, on-brand conversation instead of a beep.
- You get the details. The call gets answered and the details get passed to you, so a missed ring doesn't turn into a missed job.
- It doesn't call in sick. Busy Monday mornings and quiet Sunday nights get the same answer.
It's not meant to replace the human side of your business. It's meant to make sure nobody who wants to work with you ends up talking to a voicemail box, or to your competitor.
What it costs
CloudBay's AI Front Desk has three flat monthly plans: $197, $485, and $989 per month, depending on your call volume. Every plan includes 24/7 answering.
Put that next to your own missed-call math. If the number from the calculator is bigger than the plan that fits your volume, it's worth a conversation. If it isn't, that's useful to know too, and we'll tell you honestly.
A quick checklist for this week
You can start on this today, with or without us:
- Pull your missed calls from the last two weeks.
- Note when they happened: after hours, weekends, or busy times.
- Plug your numbers into the missed calls calculator.
- Listen to your own voicemail greeting. Does it tell callers what to expect and when you'll call back?
- Call your own business after hours and hear what a new customer hears.
Let's look at it together
